Privacy Policy

This Privacy Policy explains how Solid Ground Home Inspections LLC ("we," "us," or "our") collects, uses, shares, and protects information in connection with the FORTIFIED 123 mobile and web application and related services (the "App"). By using the App, you agree to the practices described here. This Policy works alongside our Terms and Conditions.

1. Who This Policy Covers

FORTIFIED 123 is a field-documentation tool designed to help contractors, their crews, and FORTIFIED Evaluators capture, organize, store and transfer photographs and information related to the construction of homes and installation of roofs participating in the FORTIFIED Program to help meet the documentation requirements for FORTIFIED certification as established by the IBHS (Institute of Business and Home Safety).

This Policy addresses two kinds of individuals:

  • Users — the people who create accounts and use the App (Company Owners, Project Managers, Supervisors, Roofers/Installers, Company Administrators and FORTIFIED Evaluators).
  • Homeowners and third parties — individuals whose information or property is documented in the App by a User (for example, a homeowner whose roof is being installed and photographed).

If you are a homeowner and your information was entered by a contractor using the App, please also see Section 9.

2. Information We Collect

2.1. Information you provide when you create and use an account

  • Name and email address
  • Password (stored in encrypted/hashed form)
  • Company name, address and your assigned role within your Company
  • Billing information
  • Any profile or contact details you choose to add

2.2. Project and customer information that Users enter into the App

  • Homeowner or customer names
  • Property addresses and project details
  • Photographs of properties, roofs, materials, product packaging, and installation work
  • Inspection notes, labels, and related documentation

2.3. Information collected automatically when you use the App

  • Device information (device type, operating system, app version)
  • Log and usage data (actions taken in the App, timestamps, error and crash reports)
  • Approximate or precise location data, for example if photos are geotagged or if the App records the location of a project

2.4. Device permissions the App may request

  • Camera and photo storage, to capture and upload project photographs
  • Location, to associate documentation with a property

You can manage these permissions through your device settings, though disabling them may limit core App functionality.

3. How We Use Information

FORTIFIED 123 uses the information described above to:

  • Provide, operate, and maintain the App and your account;
  • Store and organize project documentation and photographs;
  • Enable role-based access within and across companies;
  • Support, troubleshoot, secure, and improve the App;
  • Communicate with you about your account, updates, and the software;
  • Comply with legal obligations and enforce our Terms.

We do not sell your personal information, and we do not use homeowner information for advertising.

4. How Information Is Shared

We share information only as described below:

4.1. Service providers. We use trusted third-party providers to operate the App. Most notably, the App is built on Google Firebase (including Firestore, Firebase Storage, Firebase Crashlytics and Firebase Authentication), which stores and processes data on our behalf. These providers are authorized to use information only to provide services to us.

4.2. FORTIFIED documentation submissions. The App allows Users (such as FORTIFIED Evaluators) to compile and export project documentation for submission to the Insurance Institute for Business & Home Safety (IBHS) as part of the FORTIFIED designation process. Any such submission is initiated and controlled by the User and the FORTIFIED Evaluator, not automatically by us.

4.3. Within your organization. Project information is accessible to other authorized Users associated with the same company or project, consistent with their assigned roles.

4.4. Legal and safety. We may disclose information if required by law, subpoena, or legal process, or to protect the rights, property, or safety of our Users, the public, or us.

4.5. Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.

5. Data Storage and Security

5.1. Information is stored on cloud infrastructure provided by Google Firebase, generally hosted on servers located in the United States.

5.2. We use reasonable technical and organizational measures to protect information, including authentication controls and database and storage security rules.

Beta notice. The App is currently in a beta release stage. While we take security seriously, no method of electronic storage or transmission is completely secure, and during the beta period we cannot guarantee the security, availability, or integrity of stored data. Users should keep their own independent copies of important records.

6. Data Retention

We retain information for as long as your account is active or as needed to provide the App, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we take reasonable steps to delete or anonymize it. You may request deletion as described in Section 7.

7. Your Choices and Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you;
  • Request correction of inaccurate information;
  • Request deletion of your information;
  • Object to or restrict certain processing.

To make a request, contact us at ehoumard@solidgroundinspections.com. We will respond consistent with applicable law. You can also update much of your account information directly within the App, and you may stop using the App and request account cancellation at any time.

8. Children's Privacy

The App is intended for use by professionals and is not directed to children. We do not knowingly collect personal information from children under 13 (or under the applicable age in your jurisdiction). If you believe a child has provided us information, please contact us so we can delete it.

9. Information About Homeowners and Third Parties

When a contractor or FORTIFIED Evaluator enters homeowner information or property photographs into the App, that User is responsible for having the necessary permission to do so. With respect to that information, the contracting company generally acts as the party that controls the data, and we process it on their behalf to provide the App.

If you are a homeowner and wish to access, correct, or delete information about you that a contractor entered into the App, please contact the contractor directly. You may also contact us at ehoumard@solidgroundinspections.com and we will work with the relevant company to address your request.

10. Third-Party Services

The App relies on third-party platforms — including Google Firebase, and the Apple App Store and Google Play for distribution. Your use of those platforms is also governed by their own privacy policies, which we encourage you to review.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Effective Date" above and provide notice through the App or by other reasonable means. Your continued use of the App after changes take effect constitutes acceptance of the updated Policy.
